Privacy Statement


Bensted’s Charity is committed to protecting the personal data of people coming into contact with it in any capacity and ensuring that this data is only ever used in accordance with their rights and expectations. This Privacy Statement describes how we may collect and use personal data when you engage with the Charity to apply for a grant, in accordance with the General Data Protection Regulations (GDPR).

Why we collect and how we use your data: We currently collect personal data from the applicant, including name, address, telephone contact details, email address, together with financial information and any other relevant material to assist with the processing of your grant application. This enables the Charity to ensure that the application meets our Charity Commission objectives and requirements, and more importantly is of public benefit.

The grant application and the data supplied will be processed and stored securely for no longer than is necessary to enable Trustees to make a decision at a Trustee meeting regarding eligibility. The data will not be shared with any outside/third party body but may be shared with Trustees (by mail or email) to enable full consideration of the grant application at a Trustees’ meeting.

How the data is stored: Your information is stored securely (a) in a paper-based, locked and secure filing system and/or (b) on our secure server. We keep grant applications whilst processing them, leading to consideration by Trustees at regular meetings. Once a grant has been awarded, and all funds passed over, all details of personal circumstances will be securely destroyed. The application form, together with a computer record of the decision reached, will be retained for accounting purposes.

Your right to access the data: The Charity affirms the applicant’s right of access to the information being held and their right to have it rectified or deleted.

Changes to this notice: We may change this Privacy Statement from time to time. If we make significant changes in the way we treat your data, we will make this clear by contacting you directly.
